Position Overview:
We are looking for an Administrative Assistant to provide crucial clerical support to our team. The successful candidate will be responsible for a variety of administrative tasks, ensuring smooth operation and excellent client service, and supporting management members with their day-to-day needs.
Key Responsibilities:
- Coordinate meetings and conference calls, including arranging rooms, technical resources, and catering.
- Draft and edit correspondence for assigned management.
- Assist with front office reception duties, including greeting clients and handling calls.
- Provide office services relief, such as managing mail and correspondence.
- Oversee the stocking of kitchen supplies and maintain inventory of office supplies.
- Handle document management tasks, including copying, collating, scanning, and filing.
- Maintain and update calendars for assigned Partners and other team members.
- Interact with clients in person and over the phone.
- Ensure the professional appearance of conference rooms and common areas.
- Process and send tax returns and client invoices.
- Assist with scheduling client appointments and coordinating team events.
Qualifications:
- Education: High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Experience: Minimum of three years of administrative experience in a professional services firm, or one year with a Bachelor’s degree.
- Software: Advanced proficiency in Microsoft Office Suite and Adobe Acrobat required; experience with CCH Axcess and Caseware preferred.
Skills & Abilities:
- Exceptional verbal and written communication skills with a strong grasp of grammar and punctuation.
- Ability to work in a deadline-driven environment, managing multiple projects with attention to detail.
- Maintain confidentiality and understand the importance of sensitive information.
- Effective communication and collaboration with professionals at all levels.
- Proficient in Microsoft Excel, Word, and Outlook.
- Superior client service skills with the ability to multitask and work independently or in coordination with others.
- Experienced with multi-line telephone systems.
